 EMPLOYMENT OPPORTUNITY
Our Lady of Fatima Parish (153 Woodroffe at Byron) is filling a permanent, full-time position of Office Manager (35 hours per week). Candidate requirements include:
o Completion of secondary education and a minimum of 5 years of relevant office management experience (i.e., overall management of day-to-day operations, negotiations, contract administration, client interaction, procurement, safeguarding and accounting of revenue, records management).
o Excellent oral and written communication skills.
o Good working knowledge of MS Office and experience using accounting software.
o Experience in the supervision of staff is an asset.
o Knowledge of the Roman Catholic Church and its hierarchical functioning would also be considered an asset.
o Occasional overtime on workdays and weekends.
Flexible working arrangements may be possible in response to each individual’s unique needs.

Mandatory Conditions of Appointment and Employment also include:
• a valid police security check,
• signed Oath of compliance with the Archdiocesan Code of Pastoral Conduct, and
• one-year probationary period.
Every employee of the Archdiocese of Ottawa-Cornwall is a representative of the Archdiocese. Employees’ professional and personal conduct must not cause harm to the Archdiocese, or to the employing Parish’s credibility and reputation. Employees and volunteers are guided in this regard by the Archdiocese of Ottawa-Cornwall’s Code of Pastoral Conduct. Prior to appointment, individuals are required to confirm their understanding of these behavioral requirements, and commit to compliance with them, through signing the Code.

WORK ENVIRONMENT
• The language of the workplace is English.
• The Office Manager reports to the Pastor and supervises the work of office staff and office volunteers. Additional clerical support (two days per week) is anticipated by the end of 2022.
• In addition to the full range of office management duties, the incumbent is also involved in the planning and delivery of day-to-day operations of the Parish including liaising with the Archdiocese, Financial and Pastoral Councils, parish ministries, and the Ottawa Catholic School Board.
• The Office Manager ensures that the Pastor is supported in sacramental preparations including coordination of activities with schools, care residences, funeral homes and charitable organizations serving the needs of our parish community.
• This position would appeal to someone who enjoys a fast-paced environment with wide-ranging duties, including dealing with the public and with varied personality types, and resolving problems as they arise.

POSITION SUMMARY
• Under the direction of the Pastor, manages the administration of services provided by the Parish Office. These include:
• maintaining fiscal records and implementing systems for managing revenue and expenditures associated with the management of the Parish;
• working with the Parish Accountant to assist in the preparation and delivery of financial statements and reports;
• responding to queries, records management, building and equipment maintenance.
• The incumbent advises the Pastor, Parish Councils and Ministry Heads on internal policy changes, reporting requirements and the range of support services available based on available resources. Using strong oral and written communication skills, service delivery includes analyzing support services problems and developing and recommending solutions and improvements;
• preparing reports on specific aspects of existing or proposed Parish activities;
• preparing correspondence;
• maintaining a network of service and materiel suppliers;
• supervising staff and volunteers;
• acting as liaison between the Pastor and maintenance and housekeeping, ministry coordinators and volunteers.
• The incumbent also provides advice to the Pastor which requires a knowledge of Archdiocese policies and directives, and knowledge of the corporate history of the Parish.
