We are seeking a receptionist to offer administrative services to lawyers and legal assistants by answering and directing phone calls and emails, welcoming walk-in clients, scheduling boardrooms, opening and closing files, taking payments, opening mail & distributing faxes, mail, and other documents throughout the office as needed.

We are seeking a receptionist to offer administrative services to lawyers and legal assistants by answering and directing phone calls and emails, welcoming walk-in clients, scheduling boardrooms, opening and closing files, taking payments, opening mail & distributing faxes, mail, and other documents throughout the office as needed.

DUTIES

• Answering, screening and directing phone calls and emails;
• Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately;
• Receiving and sorting daily mail and deliveries and forwarding them to the proper recipient;
• Book boardrooms for in office meetings;
• Opening and closing files and preparing them for archive;
• Pulling closed files from archive when required;
• Taking credit card/debit payments and closing out batch at end of the day;
• Receipting trust and general receipts;
• Ordering business cards;
• Entering lawyer time;
• Arranging couriers (ACS and Purolator);
• Attending post office for registered mail;
• Reconciling monthly statement for court runner and couriers;
• Arranging billing in numerical order at end of month;
• Assisting other administrative staff with overflow work, including filing, word processing, data entry, and scanning as needed

SKILLS & REQUIREMENTS
• Solid written and verbal communication skills;
• Administrative training or experience preferred but not essential;
• Customer service experience;
• Proficiency in Microsoft Office Suite;
• Professional attitude and appearance;
• Ability to be resourceful and proactive when issues arise;
• Excellent organizational skills;
• Multitasking and time management skills with the ability to prioritize tasks;
• Driver’s licence.

OFFICE HOURS
• Monday-Friday, 8:30 a.m.-4:30p.m.
• A full one-hour break over the noon hour daily
• Office is closed on all statutory holidays
